What an AI receptionist for painters should do
A painter misses calls for a plain reason: both hands are busy and the phone is on a paint can across the room. By the time you climb down and call back, the homeowner has left a message with two other painting companies. An AI receptionist for painters picks up those calls, asks what the job is, and books the estimate while the homeowner is still thinking about you. A message-taking service does half of that. The booking is the half that pays.
With HelloSetter you keep your number. Turn on conditional call forwarding so calls you don’t pick up within four or five rings go to your HelloSetter number, or forward everything after hours. The AI answers new customers, asks the questions below, and puts the estimate on your calendar. Set a handoff number and anyone who asks for a person is put through. It doesn’t handle complaints, touch-up requests from past customers or supplier calls; send those to the handoff number.
Missed calls are common across the trades. When we called 281 roofing, HVAC and plumbing companies during business hours in October 2026, a person answered 131. Between 11 a.m. and 2 p.m. it was about one call in three. Painters working alone or in pairs are unlikely to do better.
Painting leads are small tickets that need a fast answer
A single room runs about $1,100 on average, with most jobs between $200 and $2,000, according to Angi’s 2026 cost data. A whole interior averages a little over $2,000. Those are not jobs a homeowner researches for weeks. They want a date and a price, and they hire whoever gives them both first. Exterior repaints, cabinet refinishing and new-construction work run higher and bring more shoppers, but the pattern holds: the painter who answers gets the walk-through.
Leads arrive from Thumbtack, Angi, Google Local Services Ads, Facebook, Nextdoor and your own site. Exclusive painting leads from pay-per-lead vendors are advertised at $6 to $30 each, and shared marketplace leads for painting are usually priced in the same range per response. Our guides on what Thumbtack leads cost and Angi lead prices have the details by trade.
What happens when a painting lead comes in
- A homeowner fills in your form: “Need the living room, hallway and two bedrooms painted before the holidays.”
- If it is inside your calling hours, HelloSetter phones them within 60 seconds. Our own tests show the call going out roughly one second after the lead is received. Leads that come in at night wait for your next calling window.
- The AI says which company it is calling for, confirms the project, and asks the questions below.
- If the job fits the work you do, it books an estimate visit in an open slot on your HelloSetter Calendar, leaving the travel gap you set between visits.
- An email summary reaches you after the call. The recording and transcript are in your dashboard.
- If nobody answers, it detects voicemail, leaves a short message, and retries up to 8 times on Starter or 16 on Growth and Scale over the following days, inside calling hours only.
- A homeowner who calls back on your local number gets the same AI, and the conversation picks up where it left off.
What the AI asks on a painting call
The questions are set up with you on the setup call. For most painting companies they look like this:
- Interior, exterior, or both?
- Which rooms, or roughly how many square feet? For exteriors: one storey or two, and siding type if they know it.
- Walls only, or ceilings, trim and doors too? Any cabinets?
- Is the home occupied or empty, and is any furniture moving needed?
- Any repairs first: peeling paint, water stains, wallpaper to remove?
- When do you want it done? Is there a hard date, like a move-in or a party?
- Do you own the home, or will a landlord or HOA need to approve?
The AI does not quote. It explains that an accurate price needs a look at the walls and the prep involved, and offers the estimate visit as the way to get a firm number. If a homeowner pushes for a ballpark, it notes that in the summary so you can decide whether to text one yourself.

How it handles common painting objections
“Can you just tell me the price per square foot?”
It explains that prep, ceiling height, number of coats and colour changes move the price a lot, which is why painters quote after a walk-through, and offers two or three times for the visit.
“I already have two other estimates coming.”
It does not argue. It offers the earliest open slot so your estimate lands first or alongside the others, and notes the competition in your summary.
“We’re not ready until spring.”
Exterior work is seasonal and many homeowners plan early. The AI offers to book the estimate now so the job is on your spring schedule, or sets a callback for the month they name.
Lead sources and setup
Setup happens on a 30-minute call. The team connects your website forms, a Google Sheet, a webhook, or Zapier for sources like Thumbtack, Angi, Facebook lead ads and Google Local Services Ads. You choose the calling hours, the questions, the appointment length and the travel gap between estimates.
You get a local phone number for callbacks. Appointments go on your HelloSetter Calendar, which you can subscribe to from your phone with an iCal link. Give it the link to the calendar you already use and the AI reads that too, so an estimate never lands on top of a job. HelloSetter only calls leads who consented, and it has no SMS and no native connection to painting estimating software.
Pricing and a test call
Plans are $697 a month for 20 booked appointments, $1,297 for 50 and $2,197 for 120, with a custom plan for bigger companies. There is no per-lead charge. It begins with a setup call and a live test call. Look over the plans.
Call (307) 216-2890 and act like a homeowner who wants three rooms painted and keeps asking for a price per square foot. You can also press Call me now on the homepage and get a call from the AI inside a minute.
