Contractor answering service: live, AI or hybrid, and what our 281 calls showed

In October 2026 we called 281 roofing, HVAC and plumbing companies during business hours, and fewer than half picked up. This guide compares the ways to cover those calls and what each one costs.

What happened when we called 281 contractors

HelloSetter sells to contractors, so we call a lot of them. Between October 21 and 23, 2026, our calls reached 281 roofing, HVAC and plumbing companies across the US. Every call went out between 9 a.m. and 5 p.m. in the company's own time zone, from a number they had never seen before, which is also how a new customer shows up on caller ID.

HelloSetter call logs, Oct 21 to 23, 2026. Rang out means no person and no voicemail picked up. Two calls got a busy signal.

The time of day mattered more than we expected. At 9 a.m. about half our calls reached someone. From 11 a.m. to 2 p.m. it fell to 31 out of 88, roughly one in three, which is when owners are on jobs and the office takes lunch. From 2 to 5 p.m. it came back up to 60 out of 109.

HelloSetter call logs: 281 weekday calls to roofing, HVAC and plumbing companies, Oct 21 to 23, 2026, in each company’s own time zone.

Three days of calls is a small sample, and a sales call is not a homeowner with water on the floor. Still, nothing on the caller ID separated us from a new customer, and the phone rang out for us just as it would have for them. Most of those homeowners call the next company on the list.

What a contractor answering service does

A contractor answering service picks up the calls your business misses, either all day or only after hours, and handles them in your company’s name. The basic ones take a message. Better ones ask your questions, sort emergencies from routine work and book the visit on your calendar. Roofers, HVAC and plumbing companies, electricians and remodelers all use them, usually because the owner is on a job site when the phone rings.

Live, AI or hybrid

Live answering services

People in a call center answer from a script you agree on. They are good with upset callers and odd requests, and some can triage emergencies and transfer them to your on-call phone. Most bill by the minute or the call, so your bill rises in the same storm week or heat wave that fills your schedule. Ask whether the agents can see and book into your calendar or only send you messages.

AI answering services

A voice AI answers in your company’s name, asks your questions and, with most contractor tools, books into your calendar. It picks up every call immediately, including ten at once after a hail storm, and usually costs a flat monthly fee. It is weaker on calls that fall outside what you set it up for, so a transfer number for those matters.

Hybrid

Some services put AI on the first ring and pass hard calls to people. Many shops build their own version: the office answers during the day and calls forward to an AI service after hours and at lunch.

General patterns. Each service is different, so ask the questions below.

Questions to ask any answering service

  1. Does it book on my calendar, or send me a message I still have to return?
  2. What will my bill be in my busiest month, not my average one?
  3. What happens to a call it can’t handle: a transfer, a message, or nothing?
  4. Can I listen to recordings and read transcripts of every call?
  5. Does it also call back the web leads from my site, Angi or Thumbtack, or only answer the phone?
  6. How do I forward my line to it, and how fast can I turn that off?

How to forward your business line

You keep your number. Most mobile carriers and business phone apps let you forward only the calls you don’t answer, usually under a setting called conditional call forwarding, "forward when busy" or "forward when unanswered". Set it to forward after four or five rings so you still get the first chance to pick up. For after-hours only, use your phone system’s schedule, or switch forwarding on when you leave the job. If you can’t find the setting, your carrier’s support line can turn it on in a few minutes.

Where HelloSetter fits

HelloSetter is our product, so weigh this part with that in mind. Forward your missed or after-hours calls to your HelloSetter number and the AI answers new callers day and night, asks your questions and books the visit into the hours you set. It also calls every new web lead within 60 seconds and keeps following up with the ones who don’t answer. It never dispatches techs, and existing customers or suppliers are best passed to the transfer number you give it. Plans are $697 a month for 20 booked appointments, $1,297 for 50 and $2,197 for 120.

Trade by trade: HVAC answering service, plumbing answering service and roofing answering service.

Web forms are the other half

Phone calls are only part of it. A request from your website, Angi or Thumbtack sits in an inbox until someone calls it back, and the homeowner usually sent the same request to other contractors. Angi tells pros to call within 15 minutes. The research on why minutes matter is in our speed to lead guide, and our follow-up guide has a call schedule for leads who don’t answer.

Frequently asked questions

What is a contractor answering service?

A service that answers the calls your contracting business misses, in your company’s name. Basic ones take messages; better ones ask your questions, sort emergencies and book the visit on your calendar. They use live agents, AI or both.

How much does a contractor answering service cost?

Live services usually bill per minute or per call, so the price rises with call volume. AI services usually charge a flat monthly fee. HelloSetter is $697 a month for 20 booked appointments. Our AI answering service cost guide compares published prices.

Do contractors miss that many calls?

In our own calls to 281 roofing, HVAC and plumbing companies during business hours in October 2026, a person answered 131. Between 11 a.m. and 2 p.m., only about one call in three reached someone.

Can I use an answering service only after hours?

Yes. Most let you forward calls only at certain times. A common setup is the office during the day and the answering service at lunch, after hours and on weekends.

Is an AI answering service good enough for a contracting business?

For new customers calling about work, a good AI service answers instantly, asks the right questions and books the visit. For warranty calls, billing questions or upset customers, give it a transfer number so those reach a person.
