AI receptionist for small business: what it does, what it costs, and when it’s worth it

An AI receptionist answers your business phone in your company’s name, any hour, as many calls at once as come in. For a small business, the question is whether it books work or just takes messages.

What an AI receptionist does

An AI receptionist for small business is a voice AI that picks up your business phone, greets callers in your company’s name and handles the call the way you set it up. Typical jobs: answer questions about hours, prices and service area; take the caller’s name, number and what they need; book an appointment into your calendar; and put the call through to you when it needs a person. It picks up on the first ring and takes several calls at once, which a person can’t.

Small businesses miss more calls than they think. When we called 281 roofing, HVAC and plumbing companies during business hours in October 2026, a person answered 131. Between 11 a.m. and 2 p.m. it was about one call in three.

What an AI receptionist costs

Per-minute plans look cheap until a busy month. A live service at about $2 a minute costs $200 for 100 minutes, and an AI plan with a minute bundle can run out the same way. Check the overage rate before you sign. The AI answering service cost guide works through two real volumes.

How to set one up

  1. Write down the questions callers ask most and the answers you want given.
  2. Decide what counts as a booking and what needs you: a new job, a quote request, an emergency, a complaint.
  3. Connect your calendar, with the hours and appointment lengths you want booked.
  4. Turn on conditional call forwarding on your business line so missed calls go to the AI, or forward everything after hours. You keep your number.
  5. Set a handoff number for callers who ask for a person.
  6. Call it yourself from another phone, then listen to the first week of recordings and fix what it gets wrong.

Questions to ask before you sign up

  1. Does it book into my calendar, or send me a message to return?
  2. What does my busiest month cost, including overage?
  3. What happens to a call it can’t handle?
  4. Can I read transcripts and hear recordings of every call?
  5. Is there a contract or a cancellation notice period?

For contractors and home services

General small-business receptionists answer for any kind of company. Home-service businesses usually need trade questions asked (repair or replacement, how old the system is, the address) and visits booked with travel time between them. Our AI receptionist roundup for contractors sorts the trade tools by shop size. HelloSetter, which we make, is built for contractors: it answers forwarded calls, calls every new web lead within 60 seconds and books the estimate, from $697 a month for 20 booked appointments.

Frequently asked questions

How much does an AI receptionist cost for a small business?

Published prices start at $29 a month as an add-on (Jobber) and $49 a month for 250 minutes (Rosie). Most small-business plans sit between about $99 and $350 a month; larger platforms start around $449.

Can an AI receptionist book appointments?

Most can, if you connect a calendar. Check whether it books directly or only sends a booking link or a message.

Is an AI receptionist better than a live answering service?

It answers every call instantly and costs the same in a busy week. A live service is better with unusual or upset callers. Many small businesses use AI for the first answer with a handoff number for the rest.

Do I need a new phone number?

No. You forward your existing number to the AI’s number, either for missed calls only or after hours.
