Privacy Policy

1. Introduction
Welcome to HelloSetter (“Company”, “we”, “our”, “us”). We respect your privacy and are committed to protecting it. This Privacy Policy describes the information we collect from users of hellosetter.com and our services, and our practices for collecting, using, sharing, retaining, protecting, and disclosing that information — including data we access from Google.
2. Information We Collect
- Personal Data: Name, email address, telephone number, and company name when you register or request information.
- Lead Data: Information about your leads — names, phone numbers, and home addresses — provided to our platform for the purpose of AI voice calling and appointment setting.
- Call Data: Recordings and transcripts of AI-placed calls, and derived outcomes such as call status, summary, and sentiment.
- Google User Data: When you connect your Google account, we access it only as described in Section 3.
- Derivative Data: Information our servers automatically collect, such as IP address, browser type, operating system, and access times.
3. Google User Data
HelloSetter requests the https://www.googleapis.com/auth/calendar and https://www.googleapis.com/auth/calendar.events scopes. With your explicit consent, we use this access solely to:
- Read your calendar’s free/busy availability so the AI can offer open appointment times during a call; and
- Create, update, and manage the appointment events that result from a booking, on your behalf.
Separately, if you choose to use a Google Sheet as a lead source, you share that specific spreadsheet with our service account and we read lead rows from it. We do not access any other files in your Google account.
HelloSetter’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. See Section 7 for our AI/ML commitments.
4. How We Use Your Information
- To provide and maintain the Service, including running AI voice-calling agents for lead qualification and appointment setting.
- To check availability, book, and sync appointments with your connected calendar.
- To manage your account and provide support.
- To monitor and improve the performance and reliability of the Service.
5. How We Share and Disclose Your Information
We do not sell your personal information or Google user data. We share information only with third-party service providers that operate the Service on our behalf, under contracts that require them to protect the data and use it only to provide their services to us. These providers fall into the following categories:
- Cloud hosting and database — to run and store the application and its data.
- Voice / telephony AI — to place calls and conduct the AI conversation.
- Language-model (LLM) providers — to power the conversational AI and to generate post-call summaries.
- CRM and scheduling integrations — the calendar or CRM you connect (e.g. Google, Jobber, Housecall Pro), used to check availability and book appointments.
All such providers are contractually bound to the Limited Use restrictions with respect to Google user data. A current list of our sub-processors is available on request at privacy@hellosetter.com. We may also disclose information where required by law or to protect our rights.
6. Data Retention and Deletion
- Google user data. Calendar free/busy availability is used transiently during a call and is not stored long-term. Your Google authorization (refresh token) is stored encrypted only while your account remains connected. When you click “Disconnect” in your settings, or close your account, we revoke and delete your Google tokens and any cached Google-derived data promptly, and in any case within 30 days.
- Account, lead, and call data. Retained while your account is active. On account closure or a verified deletion request, we delete this data within 90 days, except where a longer period is required by law.
- Your rights. You may request access to, correction of, or deletion of your data at any time by emailing privacy@hellosetter.com. You can also review or revoke HelloSetter’s access to your Google account at any time via your Google Account permissions.
7. AI/ML and Limited Use
The Service relies on third-party AI/ML models (accessed via their APIs) to conduct calls and generate summaries. Consistent with the Google API Services User Data Policy Limited Use requirements:
- We do not use, transfer, or sell Google user data — raw, aggregated, or derived — to develop, improve, or train generalized or foundational AI/ML models.
- Any Google-derived data processed by our AI providers (for example, an available time slot presented during a call) is sent only through their standard APIs, which do not use API-submitted data to train their models.
- We do not transfer Google user data to any third party for the purpose of training its AI/ML models.
HelloSetter’s use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
8. Data Security
We implement measures designed to secure your personal information, lead data, and Google credentials against accidental loss and unauthorized access, use, alteration, and disclosure. Data is stored on secure servers, access tokens are encrypted at rest, and access is restricted to authorized systems and personnel.
