AI appointment setter for contractors: what it does and how to choose one

An AI appointment setter calls your new leads, qualifies them and books the estimate for you. Here's how it works, where it fits, what it costs and how to tell a good one from a demo that only sounds good.

The short answer

An AI appointment setter is software with a phone voice that calls a new lead within a minute or two of the request, asks the questions you would ask, handles the usual pushback, and books an estimate or inspection on your calendar. If nobody answers, it leaves a voicemail and tries again over the following days. You get a summary of every call, so you know what the homeowner wants before you show up.

For a contractor, it does the job of the person who would otherwise sit by the phone calling back web leads. It doesn't replace your salesperson at the kitchen table. It gets that salesperson in front of more homeowners.

What it actually does, step by step

  1. A lead comes in from a lead service, a Google Local Services ad, Facebook or a form on your website.
  2. The AI calls the homeowner, usually within a minute, inside legal calling hours for their time zone.
  3. It introduces itself as calling for your business, confirms what they asked about and asks your questions for that service: repair or replacement, how old the roof or system is, the address, how soon.
  4. It handles common objections, like "I'm just getting prices" or "call me next week", the way your best office person would.
  5. It offers real open times and books the visit on the calendar of the right salesperson, based on the service, the area and who's free.
  6. No answer: it detects voicemail, leaves a short message, and follows up over several days.
  7. You get a summary and the recording, and the homeowner gets a confirmation.

Many shops need both: something that answers the phone, and something that calls web leads back. If most of your work arrives as inbound phone calls, start with a receptionist. Our roundup of AI receptionists sorts the options by use case.

Why speed matters so much

Homeowners who fill out a form are usually on their phone right then, and often ask several contractors at once. A Harvard Business Review study of online sales leads found that firms that tried to contact leads within an hour were far more likely to qualify them than firms that waited longer. Angi tells its pros to call within 15 minutes. A person on a roof, in a crawlspace or driving can't hit that every time. Software can. More on the research in our speed to lead guide.

Where an AI appointment setter fits best

  • You buy shared leads. On Angi, Thumbtack and Google LSA you pay whether or not you reach the homeowner, and other contractors are calling them too. See how to follow up Angi and Thumbtack leads.
  • Leads arrive after hours or while you are on a job. Forms filled in at 8 p.m. get a call that evening instead of the next morning.
  • You have a pile of old quotes. Many setters can call past leads from a list and book the ones who are still interested.
  • You have more than one salesperson, and leads need to go to the right one by service and area.

Where it fits less well

  • Most of your work is emergency inbound calls (burst pipes, no heat). Answering every call fast matters more, so look at an AI receptionist or an answering service.
  • You get a handful of referral leads a month and call them back within minutes already.
  • Your sale needs a long conversation before any visit. The AI can book the visit; it shouldn't try to close the job.

What an AI appointment setter costs

Pricing comes in a few shapes: per minute of talk time, per call, per booked appointment, or a flat monthly plan with an allowance. Per-minute plans look cheap until follow-up calls and voicemails add up. Per-booked-appointment pricing ties what you pay to the result you want. Watch for setup fees, annual contracts and charges for extra phone numbers.

For reference, HelloSetter's plans are $697 a month for 100 booked appointments, $1,297 for 250 and $2,197 for 500, month to month, after a free pilot of 14 days or 50 leads. Our AI answering service cost guide compares published prices across vendors, with a worked example at 50 and 150 leads a month.

The number to compare is cost per booked estimate. If you pay $60 a lead and book one estimate out of five leads, each estimate costs you $300 in lead spend alone. Booking two out of five drops that to $150. At 50 leads a month, that's 10 more estimates for the same lead spend.

What setup takes

  • Connect your lead sources. Usually you forward lead emails to an address the tool gives you, or connect your website form.
  • Give it your questions for each service, and what counts as a good lead.
  • Connect a calendar and set each salesperson's hours, service area, visit length and travel time between visits.
  • Set calling hours, the number of follow-up attempts and the voicemail it leaves.
  • Listen to the first calls and adjust the script. Expect a week of tuning.

The FCC treats AI voices as artificial voices under the TCPA, so AI calls to leads need consent, and marketing calls need written consent. Calls should stay inside 8 a.m. to 9 p.m. in the customer's time zone, and some states are stricter: Florida and Oklahoma end at 8 p.m., and California's automatic-dialer rule starts at 9 a.m. A good setter enforces these for you and keeps a do-not-call list. Read is it legal to use AI to call leads before you start, and check with a TCPA attorney.

Questions to ask on any demo

  1. How fast does the first call go out after a lead arrives, and how do you measure it?
  2. What happens when nobody answers? How many attempts, over how many days, and what does the voicemail say?
  3. Whose calendar does it book on, and how does it avoid booking over jobs already scheduled?
  4. How does it pick the salesperson when I have more than one?
  5. Can I hear recordings and read transcripts of every call?
  6. How does it handle consent, calling hours and opt-outs?
  7. What do I pay per booked estimate at my lead volume, all fees included?
  8. Can I try it on my real leads before I commit?

How to tell if it is working

Track five numbers for the first month, by lead source: time to first call, contact rate, booked rate, show rate and cost per booked estimate. If time to first call is under a couple of minutes but booked rate is low, the script or the questions need work. If contact rate is low, look at the lead source and the follow-up schedule before blaming the AI.

Frequently asked questions

What is an AI appointment setter?

Software with a phone voice that calls new leads, asks qualifying questions, handles common objections and books appointments on your calendar, then follows up with leads who did not answer.

Is an AI appointment setter the same as an AI receptionist?

No. A receptionist answers calls that come in to you. An appointment setter calls your leads out, fast, and keeps following up. Some shops use both.

Will homeowners know they are talking to AI?

Many will, and some states require you to say so. The goal isn't to fool anyone. It's to reach the homeowner while they still care and book a time, which most people are happy to do.

How much does an AI appointment setter cost for a contractor?

Plans range from per-minute pricing to flat monthly plans. HelloSetter starts at $697 a month for 100 booked appointments. Compare tools by cost per booked estimate at your lead volume, fees included.

Can an AI appointment setter call my old leads?

Many can. You upload a list of past quotes or unbooked leads, and the AI calls them at a set pace and books the ones who are still interested, inside calling hours and with consent.
